Event planning: Test the technology
If you are going to be planning and running an event, chances are going to be good there will be a technology component to the event. When building your event plan checklist, it is important to make sure you allow time to test the technology before the event runs. There is nothing more embarrasing when you are the events coordinator when the technology doesn't want to work. You get more frazzled, the attendees get bored, the event starts behind schedule and you are rushed then to fit everything in.
Whilst somethings are out of your control, such as:
- The internet going down
- The hardware crashing / failing
You can offset any other issues by making sure you test the technology before the event runs.
For large events with multiple speakers, always make sure you have a copy of the speakers presentation. Make sure it opens on the PC that will be running on the day of the event. One of the biggest issues we have found is the difference operating platforms can have on software used to create the presentation.
If the speaker insists on bringing their own laptop and needs to plug into the system, it's a good idea to give yourself a few minutes between speakers so the technology can be changed over. If you are new to event planning and event coordination it might be a good idea to get outside technological support to help you through the day. That way should something "bad" happen you have an expert on hand to fix any issues. These costs can be built into the registration price for the event, and can be money extremely well spent.
