Event planning: Coordinating the day

If your event is going to be at a different venue to your seat of operations (and lets face it - most events we plan, tend to be just that), then you will need to ensure you have everything organised and packed well in advance for taking.

One thing that we've found is that boxes are very cumbersome when going to and from events. So we have invested in a series of small business cases on wheels and when we are transporting lightweight but bulky items, a holdall.

Several days out from your event, go through the entire event plan with members of your team. What do you need to take?

Some things to consider:

  • Name badges and spare tags (and pens)
  • Banners
  • Notepads, pens, promotional items
  • Speakers notes
  • Laptop and Data Projector (if not being hired from venue)
  • Registration information
  • Event running sheet
  • Training material (Course notes etc)
  • Handouts and exercise sheets

Of course each event will be different and have very different requirements. But some things transpose into each event / course / training session regardless of the content.

Once you have everything together, organise with your team members who is taking what to the venue and the time they are expecting to be there. And make sure you have telephone numbers plugged into your telephone just in case you run into difficulty.
