Event planning: Get there early
When you are in charge of an event, it is so very important to get to the venue BEFORE your guests / attendees. Why? Well there may be last minute glitches to sort out. You may have to open up the venue, turn on the lights and otherwise prepare the room. Now I know that will depend on where you are holding your event, but just for a minute imagine turning up to a presentation where you were the attendee - only to find - the event staff hadn't bothered to turn up. The registration table wasn't set up and the staff were only just putting out cups and saucers for coffee.
How impressed would you be? Would you be willing to attend another event put on by the same organisation? Would you be willing to spend your time and money going to a venue that didn't take care of its guests?
So, turn that around - what would impress you would also impress other people...unless you have really low standards and don't care too much either way. But we hope that's not the case.
Successful events are successful because of many little things that come together to form one cohesive whole. Yes the devil really is in the detail. But if you get the detail right, you will have the knowledge that no-one could have done it better than you. And how good a feeling is that.
If you are in the business of events, conferences, trade shows, presentations and training courses then word of mouth (and the computer equivalent of word of mouse) will follow you and you will either benefit or not based on the little details. And the biggest one I feel is being there to greet your guests and speakers as they arrive.
"Welcome and thank you for taking the time to come today, we hope you enjoy the event."
