Event planning: Promotional Material

Depending on the type of event you are planning, will of course depend on the type of promotional material you will provide to your attendees.

Take a conference or major seminar as an example.

There will be a bag of some sort. These are usually produced with the conference theme and organisations details printed on them. They may also be screen printed with major sponsors details.

What goes inside is up to you.

  • A pen / pencil / other kind of writing implement
  • Note paper / pad
  • Conference proceedings (pre-produced) or information on when the proceedings will be made available.
  • Running sheet / Speaker information / Program of events. Also pre-produced, so you will need to have nailed down your speakers well before the production of the material is required so there is plenty of lead time to get the material produced.


Other things to think about:

  • Sweets / Mints
  • A toy? (sometimes a stress toy)
  • Other flyers to additional training / products you produce
  • Sponsors information
  • Speakers flyers and anything else they want to add to the bag.


All of which takes time to select, get artwork approved, items produced and shipped to you. So giving yourself plenty of lead time is essential.
